Privacy Policy
Last updated: 30 October 2026
This policy explains what personal data Side Street Barbers collects, why, how long we keep it, who we share it with, and the rights you have under the EU General Data Protection Regulation (GDPR) and Irish data protection law.
1. Who we are
Side Street Barbers Limited, trading as Side Street Barbers
McCurtain Hill, Scartagh, Clonakilty, Co. Cork, P85 PT61, Ireland
Email: contact@sidestreetbarbers.com · Phone: (023) 880 0088
We are the data controller for the personal data described in this policy. We are a small business and have not appointed a Data Protection Officer; please contact us at the email above about anything in this policy.
2. What data we collect and why
| Data | Why we use it | Legal basis |
|---|---|---|
| Booking details: name, phone number, email, appointment history, services and the barber you booked with | To take and manage your appointments, send booking confirmations and reminders, and avoid double bookings | Performance of a contract (your booking) |
| Email address and your marketing preference | To send occasional emails about offers, seasonal opening hours and local events, only if you opted in to marketing when booking | Consent, which you can withdraw at any time |
| Unsubscribe record: a one-way coded version (hash) of your email address and the date | To make sure we never email you marketing again after you unsubscribe | Legal obligation and legitimate interests |
| Messages you send us by email, phone or social media | To answer you | Legitimate interests |
| Payment details | Online payments and gift vouchers are processed by our booking provider; we do not see or store your card number | Performance of a contract |
3. Marketing emails
- We only send marketing emails to clients who gave marketing consent in our booking system.
- Every marketing email has a one-click unsubscribe link. Once you unsubscribe, your address goes on a suppression list and you will not receive marketing from us again.
- We send a small number of emails per month and never sell or rent your email address.
- Our emails do not contain tracking pixels; we do not track whether you open them.
4. Our website
- Our public website does not use cookies, analytics or advertising trackers.
- To display the site, your browser loads fonts from Google Fonts and a slideshow library from jsDelivr; these providers receive your IP address as part of a normal web request. Our hosting provider keeps standard server logs (IP address, date and page requested) for security.
- Our events calendar lists public events in Cork city and West Cork. It contains no personal data about you.
5. Public social media content we read
To build our local events calendar, we read public posts from the official business accounts of local pubs and venues through Instagram's official API. Our own server picks out event names, dates and venues from the post text using fixed rules; we do not use any AI service for this. We do not collect or store information about individual people, and we do not keep the posts or download the images. If you manage one of these business accounts and want us to stop, email us.
6. Who we share data with
We use the following service providers, who process data only on our instructions:
- Phorest and Fresha – online booking, client records, payments and gift vouchers.
- Google – appointments from Phorest and Fresha are copied to our staff calendar, so we can see them in one place and avoid double bookings.
- Hostinger – website hosting and the email server used to send our emails.
- Meta (Instagram) – to read public posts of local venues, as described in section 5.
Some of these providers may process data outside the European Economic Area. Where they do, the transfer is covered by the EU Standard Contractual Clauses or an adequacy decision, as set out in their data processing terms. We never sell your personal data.
7. How long we keep your data
- Booking and client records: while you are a client and for up to 2 years after your last visit. Payment and accounting records are kept for as long as Irish tax law requires (currently 6 years).
- Marketing email send records (which email was sent to which address, and when): 24 months.
- Unsubscribe list: kept indefinitely. We hold only a one-way coded version (hash) of your email address and the date, and we use it for one purpose only: to make sure that once you unsubscribe, you never receive a marketing email from us again, even if your address comes back into our booking system later. Deleting it would mean we could no longer recognise your address and might email you again by mistake.
- Emails and messages you send us: 2 years.
8. Your rights
You have the right to:
- access the personal data we hold about you and get a copy of it;
- have inaccurate data corrected;
- have your data deleted, where we have no legal reason to keep it;
- restrict or object to our use of your data, including objecting to marketing at any time;
- withdraw your consent to marketing at any time (this does not affect emails already sent);
- receive your data in a portable format.
To exercise any of these rights, email contact@sidestreetbarbers.com. We will reply within one month. We may need to confirm your identity first.
9. How to request deletion of your data
Email contact@sidestreetbarbers.com with the subject “Data deletion request”, from the email address or phone number you used to book. We will delete your data, or tell you which records we must keep by law (for example, accounting records) and for how long, within one month. We keep only the coded entry in our unsubscribe list (section 7), so that we never email you again. To stop marketing emails only, use the unsubscribe link in any of our emails.
10. Complaints
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Data Protection Commission: www.dataprotection.ie.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
